COI Tracking Software Pricing: How to Compare Total Cost
COI tracking software pricing depends on what is being counted and what work is included. Compare active vendors, document-review usage, requirements complexity and service responsibilities before comparing dollar amounts. A certificate-only tool and a managed endorsement-review program are different purchases.
Prices below were checked against public pages on November 3, 2026. They are reference points, not quotes for your organization.
Start with an identical workload
Write down active vendors, expected certificate uploads, renewal frequency, number of internal reviewers and any required integrations. Identify whether the system must only collect and extract documents or also support specialist endorsement and policy review.
Then request costs for that same scenario. Include setup, historical-document import, additional reviews, support, exports, annual commitments and what happens when the vendor count temporarily exceeds a limit.
Read the unit and the scope
Certy’s published plans start at $49 monthly for 25 vendors and 50 AI reads per month. The other published monthly tiers are $149 for 150 vendors and 300 reads, and $299 for 500 vendors and 1,000 reads. These are certificate-administration plans; they are not managed insurance-professional review.
BCS’s pricing page advertises self-service at $0.95 per vendor monthly, subject to volume, and full service from $17.80 per vendor annually with a $10,000 annual minimum. Its September 2026 RiskBot release describes different Professional pricing and added review tiers. Confirm the actual tier and quote rather than combining those descriptions into an assumed package.
CertFocus’s FAQ directs buyers to a proposal. Absence of a public fixed price is a reason to request comparable scope, not to invent a price range.
Build a total-cost worksheet
| Cost item | Question for the quote |
|---|---|
| Subscription | Which count, billing period and minimum apply? |
| Review scope | COIs only, endorsements, policy pages or human review? |
| Usage | What consumes an allowance and what happens at the cap? |
| Implementation | Who imports files and maps requirements? |
| Ongoing work | Who corrects exceptions and follows up with brokers? |
| Exit | Can we export documents, fields and history? |
A hypothetical comparison
A manager with 120 active vendors expects 240 certificate reads monthly. It first checks capacity and usage, then prices the extra work required for endorsement questions. It does not choose a service solely by dividing an advertised minimum by 120; a managed-service minimum or separate review tier could change the comparison.
Use the evaluation checklist to assess the workflow alongside cost. Keep the written quote with its scope and review date so that future renewals can be compared on the same basis.
Frequently asked questions
How much does COI tracking software cost?
There is no single category price. Providers use vendor counts, document usage, service tiers and custom quotes. Compare the same workload and required review scope.
Is per-vendor pricing directly comparable to a flat plan?
Only after matching vendor capacity, included document reviews, billing period, minimum spend and service scope. A lower headline rate can describe a different product tier.
