COI tracking for event venues
Every vendor cleared before event day.
Caterers, bartenders, AV, florists, rental and staging companies upload their certificates from a link. Certy checks each one, including your venue’s name and additional insured status, and flags problems while there’s still time to fix them.

Why it matters
Event day is too late to fix a COI.
The caterer’s COI arrived the morning of
And it named the wrong venue as certificate holder. There was no time to fix it before guests arrived.
Preferred vendors, expired policies
Your preferred vendor list is a year old. Half of those certificates have expired since you last checked.
The venue owner wants to be covered too
Your lease requires the property owner to be an additional insured on every vendor’s policy, and almost nobody gets that right on the first try.
Every vendor, one screen
Know who’s cleared for Saturday.
Every vendor gets a status from their latest COI (compliant, expiring, expired, not compliant or missing) with the reason spelled out.

2How it works
From booking to load-in.
Set your vendor requirements
GL and umbrella limits, auto for delivery vendors, workers’ comp, and the certificate holder name your lease requires.
Put the link in your vendor packet
Vendors upload their COI from a phone. They see exactly what you need, including the exact certificate holder wording.
Clear vendors before event day
Every certificate is read and checked when it arrives, so problems surface while there’s still time to fix them.
Fair questions
What venues ask first.
“Our vendors change every weekend.”
That’s why vendors upload their own COIs from a link. Your team only looks at the ones that come back flagged.
“We only need certificates for one day.”
One-day certificates and special event policies are still certificates. Certy checks that the policies are in force, flags them before they expire, and checks that your venue is named correctly.
“Our event software tracks vendors.”
Keep using it for bookings. Certy reads and checks the insurance, the part event software usually just stores as an attachment.

FAQ
Questions, answered.
- 01
What insurance should event vendors carry?
Most venues require general liability (often $1M each occurrence / $2M aggregate), auto for vendors who drive on site, workers’ comp for vendors with employees, and liquor liability for caterers and bartenders. Add the venue and property owner as additional insureds.
- 02
Should the venue be the certificate holder or an additional insured?
Usually both. The certificate holder receives the certificate; an additional insured can claim under the vendor’s policy. Our certificate holder vs. additional insured check explains the difference.
- 03
Can Certy track one-time vendors?
Yes. Add the vendor, send their link and archive them after the event to free up space on your plan.
- 04
Can you set it up for us?
Yes. Email us your preferred vendors’ COIs and we’ll load your first 50 vendors, set your requirements and send their upload links. Free with any plan.
