Subcontractor COI tracking for general contractors

No COI, no mobilization. Without the chasing.

Subs upload their certificates from a link. Certy reads each ACORD 25, checks it against your subcontract, and reminds them before coverage lapses, so you know who’s cleared to work before they show up.

From $49/month · Subs never need an account · 30-day money-back guarantee

Why it matters

One uninsured sub lands on your policy.

Estimate the exposure with the workers’ comp audit calculator.

The audit bill nobody saw coming

A framing sub’s workers’ comp lapsed in August. They worked through December. Your premium auditor charged their payroll to your policy.

The sub who showed up without a COI

The PM needed the crew on site Monday. The certificate “was coming.” Three weeks later it still isn’t in the file.

The box nobody checked

The certificate looked fine, but ADDL INSD wasn’t marked on the GL line. You found out when the claim was denied.

Every sub, one screen

See who’s cleared before the crew shows up.

Every sub gets a status from their latest COI (compliant, expiring, expired, not compliant or missing) with the reason spelled out.

How it works

Set it up once. Stop chasing from then on.

01

Set requirements from your subcontract

GL, auto, umbrella and workers’ comp limits, additional insured, waiver of subrogation and your exact legal name.

02

Send each sub a private link

Subs see exactly what you need and upload a PDF or phone photo. No account, no app, no password.

03

Know who can mobilize

Every COI is read and checked. Subs are reminded 30, 14 and 7 days before anything lapses.

Coverage timeline

Every sub’s renewals, months ahead.

Fair questions

What GCs ask first.

“Our PMs collect COIs on each job.”

Then every PM has their own folder and nobody sees the whole picture. Certy keeps one current certificate per sub across every job, with the status visible to the office.

“Our subs won’t log into another portal.”

They don’t have to. They get a link, tap it on their phone and upload the certificate. The same link works at every renewal.

“We already use Procore.”

Keep using it for project management. Certy does the COI part: reading, checking and chasing renewals. There’s no integration yet, so you’d import your sub list by CSV.

Done for you

Send us your COIs. We’ll set you up.

Starting is the hard part. Email us the certificates you already have — a folder, a zip, a messy inbox export — and we’ll load your first 50 subs, set your requirements with you, and send their upload links. Free with any plan.

  • Your first 50 subs loaded for you
  • A short call to match your contract’s insurance requirements
  • Upload links sent to every sub on day one
  • 30-day money-back guarantee

Features

Built for sub lists.

Reads every ACORD 25

PDFs, scans or phone photos. Carriers, policy numbers, limits, dates, ADDL INSD and SUBR WVD.

Checks your subcontract

Plain-English reasons when a COI falls short: low limits, missing waiver, wrong certificate holder.

Workers’ comp on every sub

The line auditors care about. Know which subs have current coverage before your audit does.

Renewal reminders

Automatic emails before any policy lapses, then weekly until a compliant COI is in.

One link per sub

Put it in your subcontract packet. Every renewal comes back to the same place.

Import your sub list

Paste your spreadsheet and request certificates from every sub at once.

Pricing

Priced by subs, not by projects.

Every plan includes upload links, reminders and compliance checks.

FAQ

Questions, answered.

  1. 01

What does Certy check on a subcontractor’s COI?

General liability, auto, umbrella/excess and workers’ comp and employers’ liability limits; additional insured and waiver of subrogation boxes on the general liability line; the certificate holder name; and every policy’s expiration date.

  2. 02

Does a compliant certificate mean we’re covered?

A certificate is informational and doesn’t change the policy. Certy checks what the certificate shows. For high-risk trades, also collect the additional insured and waiver of subrogation endorsements.

  3. 03

Can different jobs have different requirements?

Certy uses one requirement set per account today, matched to your standard subcontract. Set it to the requirements most of your jobs share.

  4. 04

How many subs can I track?

Starter covers 25 active subs, Growth 150 and Pro 500. Archive subs you’re not using to free up space.

  5. 05

Can you set it up for us?

Yes. Email us the COIs you already have and we’ll load your first 50 subs, set your requirements with you and send their upload links. Free with any plan.

Know which subs are covered before they mobilize.

Send your first upload link in minutes, or email us your COIs and we’ll do it. 30-day money-back guarantee.
