How Long Should You Keep Subcontractor COIs?

There is no single retention period that fits every subcontractor, project and jurisdiction. Set a written rule with counsel, your insurer and the record owner using the relevant contracts, claims obligations and laws. Preserve evidence for the work period when a renewal arrives.

Identify the records you need

A certificate is only part of the insurance file. Retain the relevant endorsements, correction correspondence, verification results, reviewer decision and approved exceptions under your organization’s rule. Include stable vendor and project identifiers so a later reviewer can retrieve the correct record.

A current policy certificate may not answer what evidence existed when an earlier job was performed. Avoid replacing all historic files with the latest renewal without an approved retention process.

Choose the start event and owner

A duration is incomplete without a start event. Your rule might depend on completion, contract termination, the end of a policy period or another legally relevant event. Get that interpretation from the appropriate professional rather than choosing the most convenient software date.

Assign a person to hold decisions, access permissions, retrieval and deletion approvals. A storage provider’s default retention setting is not automatically your organization’s approved rule.

A hypothetical retrieval

A contractor receives a claim relating to work completed several years earlier. The vendor is still active, but its latest COI names a different insurer. The useful record is the relevant historical evidence and review trail, not simply the newest PDF. A policy-period archive makes the difference visible.

Handle legal holds and sensitive records

When litigation, a claim or an investigation requires preservation, follow the instructed legal hold. Do not run routine deletion on those records until the authorized person releases the hold. Restrict access to policy, claims and personal information using your approved document process.

Test the process

Select a closed project and verify that someone can retrieve the vendor identity, work dates, certificate, relevant endorsements and decision without relying on a former employee’s inbox. Document any missing records and adjust the handover process.

Use the retention policy template to draft your process and the closeout checklist to capture the archive handoff. These resources organize the decision; they do not prescribe a legal retention duration.

Frequently asked questions

Can I delete an old COI after the renewal arrives?

Follow your approved retention rule. The old record can be relevant to earlier work, claims or review decisions even after a renewal is received.

Does Certy determine the legal retention period?

No. Your organization must set its own rule with the appropriate legal, insurance and records professionals.

Track every certificate automatically

Certy reads each ACORD 25, checks it against your requirements, and reminds vendors before expiry.
