COI Tracking for Retail Property Portfolios
Retail property teams coordinate base-building vendors, tenant contractors and urgent repairs around trading hours. A certificate can be current while still describing the wrong business or missing the required endorsement. Certy helps collect vendor COIs, extract their fields for review and send renewal reminders against a common account baseline. Site assignments, tenant approvals and portfolio-level reporting need a separate property-management process.
A familiar handoff
Imagine a sign installer arriving before a shop’s reopening while the landlord’s paving contractor works outside. The installer is hired by the tenant, the paving company by the landlord. The reviewer needs to know which agreement and entity apply before treating either certificate as accepted.
Identify who hired each contractor
Separate landlord service contracts from tenant fit-out arrangements in the property records. Confirm the legal entities and insurance clause before requesting a COI. A tenant’s approval to trade is a different decision from accepting its installer’s insurance. Use a shared checklist to tell the reviewer which agreement to consult; Certy does not infer the hiring relationship from a certificate.
Collect the base-building vendor baseline
Import the recurring vendor group whose insurance requirements are consistent, such as cleaners or common-area maintenance providers. Send each a private upload link and review the extracted policy information after receipt. Correct insured names or dates when the AI read needs attention. Retain relevant endorsements through your document process rather than treating certificate checkboxes as a full policy interpretation.
Review fit-outs and unusual work separately
Roof access, hot work, exterior signs or after-hours construction can introduce questions beyond routine maintenance. Give the broker the exact scope and keep project-specific approvals beside the tenant work package. A common account requirement set cannot automatically check every tenant contractor against a different lease or fit-out agreement. Resolve those differences before the site issues access or work authorization.
Reconcile records before renewal season
Use the automated 30, 14 and 7 day expiration reminders for tracked policies. Export vendor records and compare them with the external site-and-contract list so a business used at several locations is not overlooked. A lease assignment or a new operating entity warrants review even without a policy expiration. Keep exceptions assigned to an owner and retain the written decision.
Prepare these records
- Landlord service-contract and tenant fit-out insurance clauses.
- Current liability and applicable employee coverage certificates.
- Additional insured documents for the actual contracting parties.
- External site-to-vendor and lease-entity mapping.
- After-hours work approvals and documented insurance exceptions.
Where Certy fits
Certy does not supply a portfolio hierarchy, tenant-fit-out approval workflow, multiuser permissions or consolidated property reports. Keep those in the property platform. Use Certy where one baseline and certificate follow-up are the need, and assess a broader system if separate site and lease rules must be enforced within the software.
Certy’s paid plans include certificate tracking. Free tools are available separately without signup; there is no free account tier. Review the current plan limits before importing your vendor list.
