Ohio Workers Comp Coverage Verification for Subcontractors
Ohio BWC’s employer lookup provides current coverage status. A printed certificate is useful evidence, but the online record can reveal later cancellation or nonpayment; save the dated lookup and recheck during longer projects.
What the official sources establish
- BWC lookup accepts employer details or policy number and returns business identity, policy type and status.
- BWC explains active, inactive and noncompliant statuses; late payment processing can delay updates.
- The coverage-history service can show when coverage began and any lapses.
- BWC warns that a 1099 or BWC certificate does not alone determine independent-contractor status.
Match the status to the relevant date
An active result today answers a current-status question. It does not automatically establish uninterrupted coverage six months earlier. For an audit, incident or prior work period, ask for coverage history corresponding to the dates that matter. Conversely, a previously printed certificate may not reflect later nonpayment. Preserve both the original certificate and subsequent dated checks so the file shows what was reviewed and when. If payment has just been made, BWC notes processing delays; obtain clarification instead of assuming an immediate status change.
A practical review workflow
- Collect the legal business name, policy number and project work dates.
- Use Employer/MCO lookup through the BWC site and match the entity and status.
- If an earlier work period matters, obtain coverage history rather than relying only on today’s active status.
- Save a dated result; resolve noncompliance or pending payment directly with BWC and the subcontractor before treating the file as complete.
Example: an insurance file that needs another check
A hypothetical Ohio subcontractor submits a certificate printed in July. Before a November project, the GC checks BWC and sees noncompliant status. The subcontractor says payment was sent yesterday. The GC asks for resolution through BWC and keeps the matter open until acceptable confirmation is received. The July PDF alone is not used to clear the November work.
Keep the next review visible
Use the state requirements guide for the broader coverage context. Keep the supporting documents beside the subcontractor onboarding checklist, and use a COI review checklist for the policy fields. Record unresolved questions as pending review rather than treating missing evidence as confirmed coverage.

Frequently asked questions
What does noncompliant mean in BWC’s lookup?
BWC explains that the employer no longer has coverage because premium was not paid. Resolve the status directly; processing updates can take time.
Does a BWC certificate establish independent contractor status?
No. BWC specifically warns that a certificate or 1099 does not alone decide worker classification.
