How to Verify a Certificate of Insurance Is Authentic

A professional-looking PDF is not proof of authenticity. Review the document for consistency, then confirm important information through an independently verified issuing agent, insurer or official coverage route. Automated extraction alone cannot establish that a certificate is genuine.

Establish identity first

Match the insured legal name to your contracting company. Record the producer, insurer legal names, policy numbers, policy periods and source of the document. Similar business names and carrier group branding can obscure which entity actually issued the policy.

Use an official regulator or insurer source to find contact information. Do not rely solely on a phone number or email printed on a questionable certificate. Washington’s agent and company lookup can establish licensing information in that state. Licensing checks have a different purpose from confirming a particular policy.

Ask a specific verification question

Contact the appropriate agent or carrier through the verified route. Identify the insured, policy number, coverage type and period you need confirmed. Explain that you are reviewing evidence for a particular agreement. The recipient may require authorization or have limits on what can be disclosed.

For workers comp, check the applicable official state route. Save the search date and the displayed period. A current lookup result may not answer whether coverage applied on an earlier work date.

A hypothetical discrepancy

A delivery vendor sends a certificate showing an unfamiliar agency domain. The insurer’s independently located contact identifies a different servicing agent. The reviewer requests fresh evidence from the verified agent, preserves the original submission and routes the concern through the organization’s fraud process. The reviewer does not publicly accuse the vendor based only on an unusual email address.

Preserve the verification trail

Record who responded, their role, the date, the exact question and what was confirmed. Keep the response with the original evidence. If information cannot be confirmed, mark that uncertainty rather than converting it to a positive decision.

Continue the coverage review

Authenticity does not establish that limits, operations or endorsement terms meet your contract. Conversely, a field transcription error does not automatically prove fraud. Use the review checklist, resolve discrepancies and seek professional help for suspected misconduct. The NAIC consumer company search is another starting point for insurer identity information, not a universal policy database.

Frequently asked questions

Can AI tell whether a COI is fake?

AI can extract information and may reveal inconsistencies, but that is not independent confirmation from an insurer or authorized agent.

Does a licensed insurer search confirm my vendor policy?

No. It can help identify the company and licensing context. A particular policy and period need appropriate agent, carrier or official coverage confirmation.
