Match the actual employer
Search using the contractor’s exact legal name and any identifiers the state system accepts. A similarly named company, parent entity or sole proprietor may be a different employer. Record the search date, displayed policy period and source. A current result does not necessarily establish coverage for an earlier project date.
Coverage and exemptions are different checks
Some states provide separate records for coverage, owner exclusions, exemptions or independent contractor status. A registration or exemption record is not necessarily an insurance policy. Read the specific state guidance and determine whether the person, business, occupation and work dates fit the record being presented.
When public search is limited
Not every agency offers the same searchable fields or public detail. Where the directory links to the agency rather than a direct search tool, follow its coverage verification instructions or contact the agency or insurer. Do not interpret a failed or incomplete search as definitive proof that the employer is uninsured.
Keep the rest of the review open
Workers comp verification does not resolve GL limits, additional insured status, auto coverage or a waiver requirement. State fund states can use documents that differ from a conventional commercial certificate. Use the linked state guide for context and retain separate evidence for the other requirements in your agreement.
