Workers Comp Coverage Verification: Beyond Collecting a COI

To verify workers compensation, match the employer and the relevant work dates with reliable coverage evidence. A certificate is the starting point. Use the applicable state’s official verification service or confirm with the insurer when necessary, and retain what you checked.

Build the search from the legal business identity

Collect the business’s full name, trading name, policy or account number and project work period. Do not search only a short nickname and accept the first similar result. Compare the result with the contracting entity and ask for an explanation of discrepancies.

Ohio BWC’s guide explains the identifiers and coverage statuses its employer lookup returns. Washington L&I separately exposes contractor registration and workers compensation account information. Neither service should be described as Certy verification unless an actual supported integration performs it.

Current status and historical status are different checks

For upcoming work, establish current evidence and the planned coverage period. For an audit or prior incident, obtain information for the dates at issue. A policy active today may have had an earlier lapse; an old certificate may precede cancellation or nonpayment.

Record:

For historical questions, use the agency or insurer’s history process rather than interpreting a current green status as proof of every past date.

Keep owner status separate

An active employer policy does not automatically establish that an otherwise excluded proprietor or member elected coverage. If your contract requires the working owner to be included, request the appropriate election or endorsement. Likewise, clearance or exemption evidence does not prove employee insurance exists.

Example: the name is almost right

A hypothetical vendor contracts as Ridge Service LLC but sends evidence for Ridge Service Inc. A reviewer finds an active lookup for the corporation. The similar name does not resolve whether the LLC is insured. The reviewer asks the broker to explain the entities and provide applicable evidence before approving the file. The saved search remains useful as part of the inquiry, but not as proof for the wrong business.

Use the official coverage lookup directory and COI review checklist. Set follow-up reminders and reopen the review after staffing, entity, state or insurance changes.

Frequently asked questions

Is a saved workers compensation COI enough for every review?

No. Verify the relevant employer and period through the insurer or official service as appropriate; a saved document may not show later changes.

Does an active lookup confirm every worker is covered?

No. Owner elections, worker classification, insured entities and the work state may require separate evidence.

Track every certificate automatically

Certy reads each ACORD 25, checks it against your requirements, and reminds vendors before expiry.
