COI Tracking for Hotels and Hospitality Groups
Hotels buy services while guests, staff and contractors share the same space. Laundry equipment maintenance, pest treatment, kitchen repairs and room refurbishment do not present identical insurance questions. Certy can centralize certificate collection for a vendor group with consistent requirements, read document fields for review and remind vendors before renewal. Operational permits, guest protection and different property or event requirements remain separate approval tasks.
A familiar handoff
For example, a hotel schedules a refrigeration repair during breakfast service and a carpet replacement after checkout. Both vendors have certificates, but the work areas, contracting entities and required supporting documents differ. The engineering team needs an insurance review that connects to the actual work order.
Build an engineering vendor roster
Reconcile active maintenance providers with purchasing and work-order records. Confirm each business name and insurance contact, then import the consistent vendor group by CSV. Keep the property and department mapping outside Certy, which has no native hotel hierarchy. Start with current service providers rather than an unreviewed historic supplier list so the initial missing-document queue remains manageable.
Collect and review before access
Send private upload links to the vendor or its authorized contact; an account is not required to upload. Review extracted policy dates, limits and insured identity and correct any errors. Additional insured, waiver and operations questions need the underlying documents and broker review. A compliant certificate baseline is one input to the hotel’s access and work-permit process, not an instruction to start work.
Handle events and renovations as different scopes
A kitchen service contract, a wedding’s outside vendor and a room-refurbishment project can have distinct requirements. Use event or construction checklists and the relevant agreement to review them. Do not overwrite the common account baseline merely to approve one unusual job. Record specific terms, higher limits and approved deviations in the project or event file with the person responsible.
Keep renewals away from service emergencies
Use policy-expiration reminders 30, 14 and 7 days ahead, then review outstanding records before a planned service window. An urgent call-out should still have an assigned person to resolve insurance gaps and document exceptions. Export vendor records for purchasing’s reconciliation, and retain previous documents under the hotel’s record-retention process rather than assuming the newest PDF answers every historical question.
Prepare these records
- Current service-provider liability and employee coverage evidence.
- Hotel contracting entity and service agreement insurance clause.
- Required additional insured and waiver documents.
- Separate event-vendor or refurbishment insurance checklist.
- Insurance exception decisions and current renewal contacts.
Where Certy fits
Certy does not integrate with hotel purchasing, room-management or event systems, and it does not manage work permits or property-specific requirement sets. Keep guest-safety and operational approvals in the hotel’s established process. Check one service certificate with the free tool, then use Certy for a shared vendor insurance baseline if that meets the team’s needs.
Certy’s paid plans include certificate tracking. Free tools are available separately without signup; there is no free account tier. Review the current plan limits before importing your vendor list.
