Event Vendor Insurance Checklist

Use event dates and activities to frame the review. Caterers, riggers and security companies can need different coverage questions even at the same venue.

How to use it

  1. Confirm setup, event and teardown dates, not just the public event hours.
  2. Review each vendor scope and any unusual activities such as alcohol service or temporary structures.
  3. Set a review deadline before load-in and record the person authorized to release access.

Example in practice

A stage vendor starts setup two days before the public event. A policy beginning on event day would leave an evidence gap for that setup work.

Event insurance and individual vendor policies can protect different parties and exposures. Do not assume one replaces the other.
